This Privacy Policy explains how Shree Saibaba Charitable Trust ("the Trust", "we", "us", or "our") collects, uses, stores, and protects information when you visit or use this website (the "Website").

We are a charitable trust registered with the Government of Gujarat in Rajkot, Gujarat (Registration No. E-8462, registered 11 September 2008). We operate this Website primarily to share information about our seva programs and to let you contact us voluntarily.

We do not sell personal information. We do not run user accounts, newsletters, or online payment collection on this Website. Apart from what you choose to send through our contact form and limited technical data described below, we do not proactively collect personal information from you.

This Policy is prepared with reference to applicable Indian law, including the Digital Personal Data Protection Act, 2023 (DPDP Act), the Information Technology Act, 2000, and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 (SPDI Rules), as amended from time to time.

By using this Website, you acknowledge that you have read this Privacy Policy. If you do not agree, please discontinue use of the Website.

Public information on the Website (including statistics, dates, and program descriptions) is published for general awareness only. Such content is approximate and is not warranted as precisely accurate; see our Terms & Conditions for the full disclaimer on informational content.

1. Who Is Responsible for Your Data?

For personal data processed in connection with this Website, Shree Saibaba Charitable Trust acts as a "Data Fiduciary" under the DPDP Act.

Certain technical services (website hosting, analytics, and contact-form delivery) are provided by third parties who may process limited data on our behalf as "Data Processors" or independent controllers, as described in Section 8 below.

2. What Information Do We Collect?

We collect only the categories of information described below. We do not collect passwords, payment card data, government ID numbers, or health records through this Website.

2.1 Information you provide voluntarily (Contact Form)

If you use our online contact form, you choose to provide:

  • Name
  • Email address
  • Phone number
  • Purpose of contact (e.g. general inquiry or volunteering)
  • Message content
  • Language preference (locale) for the form

2.2 Information we do not ask for

We do not require you to create an account, subscribe to marketing emails, or complete profiling questionnaires on this Website. We do not knowingly collect personal data from children under 18 years of age through this Website.

2.3 Automatic technical and usage data (Analytics)

When you browse the Website, limited technical information may be collected automatically through analytics tools we use:

  • Google Analytics 4 (GA4): may process information such as pages viewed, approximate geography, device and browser type, referrer URL, and online identifiers (including cookies). Google may process IP addresses in accordance with its own policies.
  • Vercel Web Analytics: collects aggregated, privacy-oriented metrics such as page views, referrer, device type, browser, operating system, and country derived from IP at the edge. Vercel states that it does not store IP addresses with analytics events and does not use cookies for this service.

2.4 Server and security logs

Our hosting and content-delivery providers may temporarily process standard server logs (for example, IP address, request time, and requested URL) for security, abuse prevention, and reliability. We do not use these logs to build marketing profiles.

3. Cookies and Similar Technologies

Cookies are small text files stored on your device when you visit a website.

This Website does not set first-party login or shopping cookies. However, third-party analytics may set cookies or use similar technologies:

  • Google Analytics may set cookies (such as _ga) to distinguish browsers and measure traffic. You can learn more and opt out via Google's tools and your browser settings.
  • Vercel Web Analytics, as configured on our site, does not rely on cookies for visitor measurement.

You can block or delete cookies through your browser settings. Blocking cookies may affect analytics accuracy but should not prevent you from reading public pages or submitting the contact form.

5. How We Use Your Information

  • Operate, maintain, and improve the Website.
  • Respond to messages you send through the contact form.
  • Send administrative email notifications to our designated trust inbox when a form is submitted (we do not use the form to send bulk marketing to you unless you separately agree outside this Website).
  • Record submissions in a secure spreadsheet used only for trust administration.
  • Understand aggregated visit patterns through analytics.
  • Comply with applicable Indian law, regulatory requests, or court orders.
  • Protect the rights, safety, and property of the Trust, beneficiaries, volunteers, and Website users.

6. Do We Share Your Information?

We do not sell or rent your personal information. We may share information only as follows:

  • Service providers who help us run the Website under confidentiality and security obligations, including Google (Apps Script, Google Sheets, Gmail notifications, and Google Analytics) and Vercel (hosting and Vercel Web Analytics).
  • Professional advisers (such as legal or accounting advisers) where necessary and subject to duty of confidentiality.
  • Government authorities, courts, or law enforcement when required under applicable Indian law.
  • Successors in interest if the Trust's operations are reorganized, merged, or transferred, subject to this Policy or equivalent protections.
  • With your explicit consent for any other purpose you approve in writing or by clear affirmative action.

7. Storage Location and Cross-Border Processing

Contact form submissions are processed through Google services, which may store or process data on servers located in India or other countries. Analytics providers may likewise process data globally.

Where personal data is transferred outside India, we take reasonable steps to ensure that appropriate safeguards consistent with applicable law are in place, including contractual protections with service providers where available.

8. Third-Party Services and Independent Policies

Third-party providers have their own privacy policies. We encourage you to review them:

  • Google Analytics: https://policies.google.com/privacy
  • Google Workspace / Apps Script: https://policies.google.com/privacy
  • Vercel Privacy Policy: https://vercel.com/legal/privacy-policy

9. How Long We Keep Information

We retain personal data only for as long as necessary for the purposes described in this Policy, or as required by Indian law (including tax, trust governance, or litigation hold requirements).

Contact form records in our administrative spreadsheet are generally retained for a period reasonable to manage inquiries and trust records (typically up to three (3) years unless a longer period is required for a specific matter), after which we delete or anonymize them where feasible.

Aggregated analytics data may be retained in provider dashboards according to each provider's default retention settings.

When retention ends, we take reasonable steps to delete or anonymize personal data.

10. Security Measures

We implement reasonable administrative, technical, and organizational safeguards appropriate to the nature of the data we hold, including access controls on trust systems, use of reputable service providers, and limiting access to contact submissions to authorized trustees or volunteers.

No method of transmission over the Internet or electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

If we become aware of a personal data breach likely to affect your rights, we will take steps consistent with the DPDP Act and applicable rules, including notification to the Data Protection Board of India and affected individuals where required.

11. Your Rights (Data Principal Rights)

Subject to applicable law, you may have the following rights regarding your personal data:

  • Right to access information about personal data we process about you.
  • Right to correction of inaccurate or misleading personal data.
  • Right to erasure of personal data when retention is no longer necessary for the stated purpose (subject to legal exceptions).
  • Right to withdraw consent where processing is based on consent (without affecting prior lawful processing).
  • Right to nominate another individual to exercise your rights in the event of death or incapacity, as permitted under the DPDP Act.
  • Right to grievance redressal and escalation to the Data Protection Board of India as provided under law.

To exercise these rights, email shreesaibabacheritabletrust11@gmail.com with the subject line "Privacy Request" and include your name, contact details, and a clear description of your request. We will respond within thirty (30) days, or such other period as prescribed under applicable rules, and may ask for reasonable information to verify your identity.

We may refuse requests that are manifestly unfounded, repetitive, or prohibited by law, or where retention is required for legal compliance.
